We are the data controller for information you provide when signing up for OmniBot. For your clients' conversations, you (the OmniBot customer) are the data controller — we act as your data processor.

2.3 Your Clients' Data (Conversation Data)

We do not store your clients' chat conversations on our servers. Conversations pass through the Anthropic Claude API in real time. Lead emails captured by OmniBot are sent directly to your Airtable CRM — we do not retain them.

You, as the OmniBot operator, are responsible for how you handle your clients' data. Please ensure your own privacy policy discloses OmniBot's use.

3. How We Use Your Information

• Provide the service: Configure and operate your OmniBot
• Process payments: Bill your subscription via Stripe
• Send transactional emails: Welcome, trial reminders, billing receipts
• Improve OmniBot: Analyze aggregate usage to improve features
• Security: Detect fraud, abuse, and unauthorized access
• Legal compliance: Meet our obligations under applicable law

We do not use your data for advertising, sell it to third parties, or share it with data brokers.

We share data only with service providers necessary to operate OmniBot:

5. Your Rights

For all users

• Access: Request a copy of your personal data

• Deletion: Request deletion of your account and data
• Portability: Request your data in a portable format
• Opt-out: Unsubscribe from marketing emails at any time

For California residents (CCPA)

California residents have the right to know what personal information we collect, the right to delete it, the right to opt-out of sale (we don't sell data), and the right to non-discrimination for exercising privacy rights.

For EU/UK residents (GDPR)

EU and UK residents have additional rights including the right to object to processing and the right to restrict processing. Our legal basis for processing is contract performance (to provide the service you paid for) and legitimate interests (security, fraud prevention).

6. Data Security

• All data transmitted between your browser and our servers is encrypted using TLS 1.3
• Passwords are hashed using bcrypt — we cannot see your password
• Payment card data is handled entirely by Stripe — we never see your full card number
• Access to customer data is restricted to authorized personnel only
• We perform regular security assessments of our systems

7. Data Retention

• Active accounts: Data retained for the duration of your subscription
• Cancelled accounts: Data retained for 30 days then permanently deleted
• Payment records: Retained for 7 years for tax and legal compliance
• Conversation data: Not stored — processed in real time only

9. Children's Privacy

OmniBot is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us immediately.

We may update this Privacy Policy from time to time. We will notify you of material changes via email at least 14 days before they take effect. Your continued use of OmniBot constitutes acceptance of the updated policy.
